The Emirates Authority for Standardization & Metrology ESMA was established in 2001 as the sole standardization body in the UAE, tasked with formulating and issuing national standards, and granting the Emirates Quality Mark for national products.
ESMA had released an RFP for the acquisition of a correspondence management solution to handle all the official administrative correspondence and communication of ESMA across all its departments, with a central repository to host all the communications and the relevant attachments and scanned documents, and the ability to compose all types of communications through custom templates, attach files or scan documents from within the web browser, and route communications through custom workflows. The RFP also required migration of data from their existing correspondence management system, and integration with Microsoft Dynamics CRM to link with ESMA’s eTransformation project.
ESMA’s objectives from the new system also were to reduce the number of stages in workflows, trace correspondence and people responsible to avoid delays and bottlenecks, link communications through subjects or references or people, operate across various branches and sites through web, increase efficiency, enforce security and secrecy, and generate custom reports, alerts, and audits.
NVSSoft UAE has been awarded the project after proposing Tarasol, a fully web-based Correspondence Management System from NVSSoft that was built on the ArcMate suite of applications, and designed based on the paper correspondence handling and management needs of government agencies in the MENA region. Tarasol was implemented at various government agencies in the region, providing complete communication management in Arabic and English, all through the web browser and the smartphone.
As part of the selection process, ESMA had conducted a site visit to the Sharjah Police Science Academy, one of the clients using Tarasol. The delegation from ESMA included Ms. Laila Ali Al Khazimi, Head of IT department; Ahmad Saif Al Ali, Head of Data Center, and Fawaz Abdul Qader, IT Consultant. Major Saif Abdullah Al Shamsi, Head of Support Services at the Sharjah Police Science Academy, welcomed the delegation and toured them through the various departments using Tarasol and the successful transition from paper to digital correspondence, and from digital to intelligent correspondence.
NVSSoft UAE also had the advantage of its local presence and its highly qualified team of Arabic-speaking implementation and support engineers, a requirement that was crucial to ESMA in its selection process.
